Our Policies Governing Donations

I. All donations are non-refundable.

II. Policies Concerning Donations Given in Support of an EPPIC Journey (EJ).

A. If a person is not able to go on the EJ for which the individual is registered, then all funds raised by that individual, minus all non-reimbursable expenses, such as airline ticket cancellation fees, will be:

1. Held in the cancelling individual’s account for one year from the date of cancellation to be used by that individual toward the expenses of another EJ, so long as the scheduled departure date of the EJ chosen falls within the one year timeframe.

2. Transferred to one or more persons’ EJ accounts as directed in writing (email notification is sufficient) to the EJ Team Leader by the individual cancelling his/her journey. In order for a transfer to be valid, the scheduled departure date of the EJ of the person receiving the transfer must take place within the one year period of time defined above.

3. Any and all remaining funds raised for the EJ by the individual who was not able to go which have not been reutilized or reallocated as described above by the end of the one year period defined above will be transferred into the general fund of EPPIC Ministries International to be used as directed by the leadership of EPPIC Ministries International.

B. Unless other corporate funds are made available, in order for an EJ to be financially feasible, at least twelve fully-funded team members must go on an EJ. Therefore,

1. No plane tickets for members of an EJ will be purchased unless twelve or more team members have raised at least half of their total funds required not later than three months prior to the scheduled departure date of an EJ.

2. If twelve or more team members have not raised at least half of their total funds required at least three months prior to the scheduled departure date of an EJ, then that EJ will be cancelled and the funds raised by each team member, minus all non-reimbursable expenses, will be held in each individual’s account for one year from the scheduled departure date of the EJ being cancelled.

a. Each team member may use all of the remaining funds, or any portion thereof, that he or she had raised for the cancelled EJ toward the expenses of another EJ, so long as the scheduled departure date of the EJ chosen falls within the one year timeframe.

b. Each team member is also permitted to transfer all, or any portion thereof, of the remaining funds that he or she had raised for the cancelled EJ to one or more persons’ EJ accounts as directed in writing (email notification is sufficient) to the EJ Team Leader by the individual whose EJ was cancelled. In order for a transfer to be valid, the scheduled departure date of the EJ of the person receiving the transfer must take place within the one year period of time defined above.

c. Any and all funds raised for the cancelled EJ which have not been reutilized or reallocated as described above by the end of the one year period defined above will be transferred into the general fund of EPPIC Ministries International to be used as directed by the leadership of EPPIC Ministries International.

3. If twelve or more team members have not raised the total amount of individual funds required at least one month prior to the scheduled departure date of an EJ, then that EJ will be cancelled and the funds raised by each team member, minus all non-reimbursable expenses, such as airline ticket cancellation fees, will be held in each individual’s account for one year from the scheduled departure date of the EJ being cancelled.

a. Each team member may use all of the remaining funds, or any portion thereof, that he or she had raised for the cancelled EJ toward the expenses of another EJ, so long as the scheduled departure date of the EJ chosen falls within the one year timeframe.

b. Each team member is also permitted to transfer all, or any portion thereof, of the remaining funds that he or she had raised for the cancelled EJ to one or more persons’ EJ accounts as directed in writing (email notification is sufficient) to the EJ Team Leader by the individual whose EJ was cancelled. In order for a transfer to be valid, the scheduled departure date of the EJ of the person receiving the transfer must take place within the one year period of time defined above.

c. Any and all funds raised for the cancelled EJ which have not been reutilized or reallocated as described above by the end of the one year period defined above will be transferred into the general fund of EPPIC Ministries International to be used as directed by the leadership of EPPIC Ministries International.

C. Early return or departure from an EJ, no matter the cause or reason, will result in the individual(s) losing any claim to the funds raised by the individual(s) for that EJ. Once an EJ begins, all funds raised for that EJ are fully committed to covering the overall costs of the EJ and, therefore, no portion of the funds raised by a team member who either chooses to return early or is not able, for any reason whatsoever, to complete the entire duration of an EJ will be refunded, reimbursed, or reallocated to that team member.
